Privacy Policy

How Tally uses and protects information when you use the accounting service and connect it to HMRC.

Last updated: 13 October 2026

Who is responsible for your information

Tally is provided by S & S Dynamics Limited, company number 17502831. For information entered by your organisation, that organisation is normally the controller and we act as its service provider. We are responsible for information used to operate, secure and support Tally.

Privacy enquiries can be made through:

Information we use

We use the information needed to provide accounting and tax features, including:

  • account details, names, email addresses, access permissions and sign-in records;
  • company, customer, supplier, employee, invoice, payment, project, payroll and VAT records entered by authorised users;
  • VAT registration numbers, VAT obligations, returns, submission receipts and HMRC authorisation details;
  • technical and security information such as IP addresses, device identifiers, browser details, screen information, time zone, request logs and audit history;
  • support communications and diagnostic information supplied when help is requested.

How we use information

We use information to provide the service requested by your organisation, calculate and preserve accounting records, manage access, connect to HMRC, submit authorised VAT returns, prevent misuse, investigate faults and meet legal obligations. We do not sell personal information or use accounting records for advertising.

HMRC and fraud-prevention information

When an authorised user connects Tally to HMRC or uses an HMRC feature, we exchange the information needed to retrieve VAT obligations and submit VAT returns. HMRC requires software to send fraud-prevention information with these requests. This may include the user’s IP address, device identifier, browser, screen details, time zone, user identifier and details identifying Tally and the server making the request. HMRC uses this information to detect and prevent fraud.

HMRC authorisation credentials are stored in encrypted form. Users can disconnect a company from HMRC without removing accounting records or submission receipts that must be retained.

Who receives information

Information is available only to authorised users and suppliers needed to host, secure or support Tally. It is shared with HMRC when a user authorises an HMRC connection or submission, and with Companies House when a user requests public company information. We may disclose information where required by law or to protect the service and its users.

Storage, security and retention

Customer information is hosted in the United Kingdom. Securely encrypted backups may be stored in other countries to support recovery and service continuity. Access to backups is restricted, and appropriate contractual and legal safeguards are used when information is stored outside the United Kingdom. We do not publish detailed infrastructure locations because doing so could weaken the security of the service.

We use access controls, encrypted connections, audit records and other proportionate safeguards. No online service can guarantee absolute security.

Information is kept while an account is active and for as long as needed for accounting, tax, security, dispute-resolution and legal purposes. Your organisation controls the retention of its business records, subject to applicable law. Backups and audit records may remain for a limited period after operational data is removed.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict use of your personal information, object to particular uses, and receive information in a portable form. Start with the organisation that provided your Tally account. You may also contact us using the details above and complain to the UK Information Commissioner’s Office.

Cookies

Tally uses essential cookies and browser storage to keep users signed in, protect forms, remember interface preferences and support secure HMRC connections. These are required for the service to work. Tally does not use advertising cookies.

Changes to this policy

We may update this policy when the service, our suppliers or legal requirements change. The latest version and its update date will remain available on this page.
